This Privacy Policy explains how PlannerNext collects, uses, stores, and shares information when you use the PlannerNext mobile application.

This policy describes the app's current implemented behavior as of March 21, 2026. It is written to reflect the app as it works today, including current limits in available privacy controls.

What We Collect

Depending on how you use the app, PlannerNext may collect and process the following categories of information:

Account and sign-in information

  • Your Firebase user ID
  • Your Google account email address
  • Your display name
  • Your profile photo URL, if available from your sign-in provider

PlannerNext currently requires sign-in with Google/Firebase for normal authenticated use.

Voice and audio data

  • Voice recordings you create in the app
  • Local audio file paths stored on your device
  • Cloud audio file URLs after upload to Firebase Storage
  • Recording timestamps, duration, processing status, and processing errors

Transcript and AI-derived planning data

  • Transcripts created from your voice recordings
  • Tags and extracted metadata related to recordings
  • Task candidates and planning suggestions generated from recordings
  • Voice-plan summaries
  • Important dates, budget entries, and people/location notes extracted from recordings

Assistant and interaction data

  • Assistant conversations and messages
  • Typed prompts you send
  • Voice-transcribed prompts you send
  • Selected transcript context used to answer assistant requests
  • Linked source recording IDs for assistant responses and summaries

Planner and settings data

  • Tasks, reminders, recurring schedules, task instances, and alarm settings
  • User profile and personalization data, such as role, focus areas, work rhythm, partner name, and manager name
  • App settings and preferences, including theme, voice preference, alarm settings, and task automation preferences

Purchase and subscription data

  • Subscription status and entitlement information returned by RevenueCat
  • Product identifiers, renewal status, and expiration data related to subscriptions

PlannerNext does not process your full payment card number. Purchases are handled by Apple, Google, and their payment systems, with subscription management through RevenueCat.

Support communications

If you contact us, we may receive the information you choose to provide, such as your email address, phone number, and the content of your message.

How Voice Recording Works

PlannerNext is a voice-first planning app. When you create a recording:

  1. The app requests microphone access.
  2. Your recording is captured on your device and stored locally as an audio file.
  3. The app creates a local voice-plan record that includes metadata such as time, duration, and processing status.
  4. The raw audio file is uploaded to Firebase Storage.
  5. The audio is sent to OpenAI for transcription.
  6. The transcript may then be sent to OpenAI again for task parsing, metadata extraction, summaries, reflections, assistant responses, and related planning features.
  7. The resulting transcript and some derived voice-plan data, such as tags, task candidates, processing status, and cloud audio references, are stored locally and also synced to Firebase services for signed-in users.
  8. Additional extracted planner information, such as important dates, budget entries, and people/location notes, is stored in the app's local database.

At the time of this policy:

  • PlannerNext records raw audio only when you intentionally start a recording in the app.
  • The app does not include an implemented automatic audio-deletion workflow after processing.
  • The app does not include an implemented opt-out switch that stops recordings from being used as assistant context once the data exists in the current workflow.

How We Use Data

PlannerNext uses your information to:

  • authenticate your account and maintain your signed-in session
  • store, organize, and display your recordings, transcripts, tasks, reminders, and summaries
  • upload and process recordings so the app can transcribe and analyze them
  • generate tags, task suggestions, planning insights, summaries, reflections, and assistant responses
  • personalize planning features using your saved profile and settings
  • synchronize supported app data between your device and Firebase services
  • enable reminders, exact alarms, notification delivery, vibration, and full-screen alarm behavior
  • manage subscriptions and restore purchases
  • troubleshoot failures, such as upload or transcription errors
  • respond to support requests and enforce app operations and security

Sharing and Service Providers

PlannerNext uses third-party service providers to operate core app features.

Google Sign-In and Firebase

PlannerNext uses Google Sign-In and Firebase services, including:

  • Firebase Authentication for sign-in and account identity
  • Firebase Firestore for syncing supported planner data
  • Firebase Storage for uploaded voice recordings

For signed-in users, the app currently syncs supported planner data automatically through Firebase-based workflows. This includes items such as voice-plan records, assistant conversations, assistant turns, summaries, tasks, task instances, and user settings.

OpenAI

PlannerNext sends data to OpenAI to provide AI-powered features. Depending on the feature used, this may include:

  • audio you record for transcription
  • transcripts from your recordings
  • typed assistant messages
  • voice-transcribed assistant prompts
  • selected transcript context
  • daily or weekly summary inputs
  • task, reminder, and related planner context
  • personalization context from your saved profile/settings
  • text submitted for speech synthesis

OpenAI is used for transcription, task parsing, metadata extraction, assistant responses, reflections, briefings, reviews, summaries, and text-to-speech generation.

RevenueCat and App Store / Play Store billing

PlannerNext uses RevenueCat to manage subscription entitlements and purchase state. Subscription purchases themselves are processed by Apple and Google through their own billing systems.

Advertising and tracking

As of March 21, 2026, PlannerNext does not currently include in-app advertising SDKs or third-party behavioral tracking SDKs in its implemented app workflow.

PlannerNext does not currently use your information for in-app advertising, and it does not currently provide an implemented in-app workflow for selling personal information for advertising purposes.

Permissions and Device Access

PlannerNext currently requests or uses the following device permissions and capabilities:

Microphone

The app requests microphone access so you can record voice plans and voice prompts.

Notifications and alarms

The app requests notification-related permissions to send reminders and alarm-style alerts. Depending on platform, this may include:

  • standard notification permissions
  • exact alarm permissions
  • lock-screen or full-screen alarm presentation
  • vibration
  • wake and boot-related alarm reliability features
  • battery-optimization exemption requests on Android

Notifications may contain task-related information, such as reminder text or task titles.

Background features for reminder reliability

On iOS, the app currently declares background audio/fetch-related capabilities used to improve reminder and alarm reliability.

Permissions the app does not currently request or use

As of March 21, 2026, PlannerNext does not currently request or use these permissions or access types:

  • camera
  • contacts
  • device location

Retention and Deletion

PlannerNext currently uses a mix of local storage and cloud-backed storage.

Voice recordings and related records

  • Recordings are stored locally on your device.
  • Recordings are uploaded to Firebase Storage as part of the current voice-processing workflow.
  • Voice-plan records, transcripts, and related planner data may remain stored locally unless you delete them.
  • When you delete a voice plan in the app, the app deletes the local audio file and attempts to delete the cloud audio file from Firebase Storage.
  • If cloud deletion fails, the local record may still be marked deleted while cloud cleanup may need to occur later.

Assistant data

  • Assistant conversations and messages are stored locally.
  • Conversation deletion is currently supported and is implemented as a soft-delete workflow that also syncs deletion state for supported cloud records.

Failed recordings

The app currently allows failed recordings to be deleted in bulk from Settings.

Sign-out behavior

  • Signing out does not currently wipe all local app data or cached files.
  • In particular, local planner data and cached text-to-speech audio may remain on the device unless separately deleted by app workflows or device-level removal.

No implemented automatic retention schedule

As of March 21, 2026:

  • the app does not implement a full automatic data-retention schedule
  • the app does not implement automatic deletion of recordings after processing
  • the app does not implement a full in-app account deletion flow
  • the app does not implement a full in-app export flow

Your Choices and Rights

Depending on applicable law, you may have rights to request access to, correction of, or deletion of your personal information, or to object to certain processing.

At this time, the current app implementation has important limits:

  • there is no full in-app account deletion feature
  • there is no full in-app export feature
  • there is no implemented opt-out switch that fully disables assistant use of recordings in the current workflow
  • there is no implemented automatic audio-retention control that removes recordings after processing
  • privacy-related toggles shown in Settings for cloud sync, audio retention, and assistant-context use should not be relied on as fully implemented privacy controls at this time

If you want to request deletion or have privacy questions, contact us using the details in this policy.

You may also limit future data collection by:

  • choosing not to create new voice recordings
  • deleting voice plans and conversations that you no longer want stored
  • uninstalling the app from your device

Children

PlannerNext is not directed to children under 13, and we do not knowingly design the app for children. If you believe a child has provided personal information through the app, contact us and we will review the request.

International Transfers

PlannerNext and its service providers may process and store information in countries outside your home country. By using the app, you understand that your information may be transferred to and processed in jurisdictions with different data-protection laws than those in your location.

Because PlannerNext uses providers such as Google/Firebase, OpenAI, RevenueCat, Apple, and Google Play, your data may be handled on systems operated in multiple countries.
